Workflow Operations Basics

info

In this section and its subsections, the term workflow may indicate a Standard Workflow or a workflow preset (a Workflow Template or a Managed Workflow, see section Workflows Overview > Workflow Types > Standard, Managed Workflows, and Workflow Templates).

Administrator and Manager can create, edit, or delete a workflow on the corresponding Workflows page (see section Workflows Pages and Types of Workflows Available).

The procedures of adding and managing a workflow and a workflow preset (a Workflow Template or a Managed Workflow) are basically similar, the main difference is the particular Workflows page on which the operation is performed.

Workflows Pages and Types of Workflows Available

evalink talos offers a number of Workflows pages where it is possible to access workflows:

  • of the corresponding hierarchy level (site, site group, or Company)

  • of the corresponding type (Standard, Managed Workflow, or Workflow Template)

These Workflows pages are summarized in the table below.

LevelWorkflows pageOperations with workflows available (for Administrator and Manager)
SiteSites > [site] > Workflows

The site Workflows page
1. Work with Standard Workflows of the site
2. Link Managed Workflows to the site ✳
Site groupSite Groups > [site group] > Group Workflows

The site group Standard Workflows page
Work with Standard Workflows of the site group
Site Groups > [site group] > Managed Workflows

The site group Managed Workflows page
Work with Managed Workflows of the site group (these workflows can then be linked to sites that belong to the group)
CompanyCompany > Global Workflows

The global Standard Workflows page
Work with global Standard Workflows
Company > Managed Workflows

The global Managed Workflows page
Work with global Managed Workflows (these workflows can then be linked to any site)
Company > Workflow Templates

The Workflow Templates page
Work with Workflow Templates ✳ (these Workflow Templates can then be used to create Standard Workflows on any hierarchy level)

– operations available on one hierarchy level only.

By default, all Workflows pages are empty. Each workflow created on a Workflows page is displayed on a separate subtab within the page (see the figure in section Find a Workflow on a Workflows Page below).

info

Default Workflows (see section Workflows Overview > Workflow Types > Default Workflows) can be added on all pages above, but can perform catch-all function for unassigned incoming alarms only on these pages:

  • on the site Workflows page (Sites > [site] > Workflows)

  • on the site group and global Standard Workflows pages (Site Groups > [site group] > Group Workflows and Company > Global Workflows)

For more details, see subsection Default Workflows on Workflows Pages in Workflows Overview > Workflow Types > Default Workflows.

Find a Workflow on a Workflows Page

If there are many workflows on a Workflows page, you can, for your convenience:

  • use < > arrows to scroll the workflow tabs

    OR

  • use the arrow_drop_down icon to display a drop-down list that you can scroll using the mouse wheel

The figure below shows how to quickly locate and open a workflow on a Workflows page:

Indications in the Workflows List on a Workflows Page

Colored dots above the workflow tab on the Workflows page indicate the following states of the workflow:

  • Unsaved changes indication blue dot – there are unsaved changes in the workflow editor (see section Work with Workflow Steps > Workflow Editor)

  • Missing parameter indication red dot – there is a misconfiguration

    Misconfiguration examples are:

    • parameters missing – for example, no incoming conditions are set for the workflow
    • incorrect use of steps – for example, when a step is added after the Close Workflow step, in the main workflow or in its conditional branch (this step finishes the workflow execution and therefore should always be the last step in its branch)
  • Override indication blue dot with an hour plate – there is an overriding workflow created for the current workflow (see section Work with Workflow Overrides)

The figure below shows the workflow tab with unsaved changes:

A (Default) caption in brackets near the workflow name indicates a Default Workflow (see section Workflows Overview > Workflow Types > Default Workflows).
